Job Description

  • Prepare drivers run sheet.
  • Prepare the night visual white board to show all night drivers and their workload.
  • Inform any drivers that come into the transport office of their allocated run at the start of their shift.
  • Ensure all drivers that come on shift whist you are running the desk are of an acceptable company appearance including have all correct PPE including safety footwear and Hi-Viz vest or jacket.
  • Ensure that all drivers have the correct paperwork for them to carry out their work, this may include ferry booking information/collection paperwork and delivery notes.
  • Ensure that all drivers starting their shift are legal and within the law that surrounds legal rest etc.
  • Allocate drivers their vehicle pack they will use for their shift.
  • Ensure all drivers leave with correct vehicle & trailer.
  • Ensure any vehicle or trailer allocated to the driver is road legal.
  • Ensure the drivers have been sent their daily workload via Sterling.
  • Monitor and implement the daily plan as per the transport plan and as directed by either the transport planner or the Site Operations Manager
  • Inform the Operations Manager of any lateness, sickness or non-arrival of staff.
  • Monitor and communicate with drivers throughout the shift and resolve any issues that arise or if necessary, escalate to the transport planner or Operations Manager, Issue driver’s eta’ should any be requested from any area within the business or directly from the customer/supplier.
  • Deal with any vehicle/trailer breakdown as quickly and efficiently as possible, escalate any of these to the Operations Manager if they are out on the road.
  • Ensure all clients are contacted if any delivery or collection is at risk of been late and ensure you have an updated ETA to give to the client.
  • Ensure the daily yard check has been completed on your shift and the information is communicated verbally and electronically to the relevant people that need it in the business.
  • Monitor and answer all emails sent to the transport email account.
  • Keep the visual white board updated throughout your shift and remove from the white board any drivers who have arrived back at the depot having completed their day.
  • Communicate with Warehouse Operations Supervisor to ensure all loads are picked and loaded on time ready for driver’s departure time.
  • Communicate any Warehouse delays to the Operations Manager immediately.
  • Ensure WMS and Sterling are updated immediately with any changes.
  • Do a full detailed handover at end of your shift for your colleague coming on shift, this needs to be in the forms of written and verbal commination’s.
  • Debrief all drivers returning to depot at the end of their shift, this includes checking all correct paperwork comes back in with them, ensuring the driver downloads their Digi card, and has answered all the relevant questions that need to be asked upon return.
  • Ensure if any suspicions regarding any member of staff in regard to behaviour/drugs/drink etc and escalated immediately, and if necessary a breathalyser test is carried out.
  • Carry out spot vehicle/trailer checks when drivers return to the depot to ensure all fleet is kept in a clean condition – Report any uncleanliness immediately to the Operations Manager
  • Ensure the Fleet VOR/Inspection White board is kept into date at all times and that vehicles and trailers are stood down at the appropriate time to ensure minimum impact to the business.
  • Report any damage or defects that come in on your shift and keep the appropriate log sheet up to date to ensure visuality is available to all relevant people.
  • Upload all PODs that you handle throughout your shift.
  • Keep the transport Goods In system up to date with drivers expected arrival time with the collections they have on their back.
  • Assist in other areas of the transport and or warehouse when needed if workload deems.
  • Answer the telephone as required and direct the call to the appropriate person in the business if necessary or resolving the callers query if you can.
  • Housekeeping of the office as and when needed.
  • Accurately produce any reports that you are requested to do from the Operations Manager
  • Answer all calls to the Transport office - No Desk should be turned down or put on Do Not Disturb unless authorised by the Operations Manager.
